OX Advanced features
There are several features, and concept that allow for advanced management of Open Exchange. These are covered below. These concepts are useful for:
- Unlocking the potential of file sharing, privately and publicly
- Using rights management and a right structure
- Unlocking the option to connect external mail boxes and external mail servers.
Definition of space
Open Exchange works with spaces. A space is always designed as all mailboxes and users under a global address.
As an example, we have a domain (domain.com) which has 5 users. These users are all sharing a single space, namely the space provided by domain.com. What they can do, individually, is determined by the license applied to each mailbox.
Private vs public
Open Exchange makes a difference between global space and private space. A global space may be shared with different users. A private space is always locked (and bound to the specific Open Exchange account). A private agenda, for example, could not be shared, while a company agenda could be shared.
The following components support this feature, in the following way:
- Address Book. The feature is named Private folder, and Public Folder, respectively
- Drive. Here, this is referred to as Public files (the files on the Drive are always personal unless shared)
Sharing & rights management
By using the public and private space, users may determine what files they wish to share globally. On top of this, Open Exchange has a rights management system which allows the user to choose with whom they wish to share files, agenda's, or contacts.
All components have a gearbox icon next to folders:
This gearbox icon may be used to access Permissions. Permissions allow you to give certain rights to users within your Space. The users should have a Business or Pro license.
After sharing a folder with a user, rights may be given:
- View (read rights) for contents of a folder
- Write (write rights) for content within a folder
- Assign (delegate tasks and calender appointments)
- Use the global or selective address book
This is useful when setting one master account, which can then assign tasks and manage agenda's for a number of accounts (as expected in a business setting).
